Meeting the neighbors in Jette

It’s a big deal of course, but we have a folder for all our communication materials: The Reef shared folder\Communication\Flyers & posters

Can it be an option to move your files to that file?

Alternatively I have moved the “external relations” folder (Bauhaus and contact details of the neighbours) to the Team External folder.

Hi @reeflings !

Normally, Dave and I organise the bar for these events, but both of us are away at the moment. I will be coming back to Brussels on the day of this event, and I will be able to buy things like juice, snacks, etc., as well as run the bar with whoever is available to help that evening.

There is one significant practical issue that we need help with though. After the last bar we set up at Brutopia, there is a shopping caddy full of beers currently sitting at @alberto’s place. What we need is for someone to go and pick them up, anytime between now and 6 September. This will involve connecting with Alberto about whether he is in town, and perhaps being let in by Tamara or @Lee. One piece of extra information: the shopping caddy is very full, and therefore very heavy.

The next step is to chill the beers ahead of the event on the evening of 7 September, and then bring them to it. So a big fridge or freezer is part of the equation.

This could be a 2-person mission: one to pick them up and deliver them to the second person who does the chilling. There could even be a third person who does the final delivery to the event…

So, could we get some volunteers for this?

@chrism Since I’m going there in any case and have a car that can take a decent load, I’m in for pick-up at Alberto’s, chilling at my place and delivery on the day.

@alberto @Lee

  • I’ll contact Kim
  • Ten days ago, I hung a 2xA3 version of the current invitation on a more or less sturdy board at the gate. I propose to replace this one with Lee’s simplified version on the evening of the event. @manuelpueyo Maybe we can work with the same layout person?
  • As to a new round of flyers, I can print on my machine. @manuelpueyo let’s talk when you have returned from holiday.

17 days to go.

@Lee Not too important indeed but how do we want classify, by content type or by team? I’m used to:

  • team at level 1
  • content at level 2 (with a few standard folders at this level, e.g., “communications materials” or “meeting reports”)

Lovely! Just know I will be gone that week. @Lee has keys and @TamaraFoubert even lives there. The caddy is in the hallway, behind the clothes rack.

Hi! I can help with picking up the drinks and cooling them in the course of next week. It is not clear to me when and where the event with the neighbours will be? Depending on the timing and venue, I might be able to drop the drinks off

Thanks @joannes… much appreciated! I trust that you’ve seen Alberto’s subsequent message regarding how to go about it…

Thanks @marij_e… also much appreciated! If Joannes needs any help with that mission in the end, he can contact you for help…

Hi @Lee, @alberto & @joannes,

Is Lie giving a presentation at this event? I can bring the beamer and an extension cord, and Lie has an adaptor. But unless we know that there is a blank wall to project onto at the venue, we will need the screen from Alberto’s that we usually use at Miro. In which case, perhaps Joannes should grab that when he picks up the beers…

hello dears! I had a look at the form results internal link and we only have 2 real people who signed up. at least one of them is potentially interested in joining the reef.

i am going to do another round of distribution of flyers and event hand out flyers directly to the neighbours.

when we thought about this event we assumed that neighbors (not future reeflings) would like to be informed about our project and that would invest some time coming to an info event. in my opinion we still need to validate this assumption, it may be false and that is ok.

As far as I understand, we will give a presentation (@Lee, you indeed?) and the architects will also be there to answer questions. Labolobo has a projector and screen in place.

@marij_e It’s on 7 September at 19:30. This is what is says on our fancy Nextcloud calendar:

Meeting with the neighbnorhood
Sep 7, 2024 7:30 PM
Labolobo. Avenue Firmin Lecharlier 4 1090 Jette

That works. It’s just our general “communication > flyers” folder structure that caused a bit of confusion here. I took the liberty though to rename the folder “réunion quartier” to “neighbourhood meeting”, so that it becomes searchable with the Nextcloud search function.

Yup.

I went flyering yesterday for a second round. thanks @joannes for the printing. talked to 6 people and half of them they seem to be aware of the event.

Thanks a lot for doing another round Manuel! It’s also good to hear that several people seem to be aware of the event.

I don’t want to interfere with the work of Team External, and at the same time establishing connection with the neighbours is so essential that I would like to call on the entire @reef-external whether you could please keep evaluating how this is going.

We now for a fact that some neighbours want to meet us and know more about the project. The question is whether they have received our flyer and also whether they are available on that evening.

My suggestion would therefore be to have another look at how we can communicate with them. Can it be an option for example to create some sort of “Neighbours Newsletter”, so that we can reach them by email? Does it make sense to do a third round, just with the simplified poster/flyer that I designed, with a link to a new form? Such a new form could then ask for their contact details, include an option like “sadly I can’t make it that evening, but please keep me posted” etc.

The reason I’m insisting is not only that it’s important for the entire group that we establish a good connection ASAP, but also that we are investing a lot of resources, with the architects coming over, Chris and Sarah coming back from holiday early etc.

Ithis is an interesting option but people need to subscribe of their own will . I think we should start collecting emails from the people that come to the event and the grow from there

If you are referring to kim collective, they are all aware. Kim shred the info on their WhatsApp group

We are placing flyers in all the houses in the perimeter. Difficult to know if they read and if they are interested. I dont know any other method to target this people with such level of detail in such a short period of time for the first time

the more rounds the better. i will try to do another round on thursday evening. anybody free from @reef-external to go for a flyering round this weekend? i am not in brussels. off to a festival

thanks for your flyer Lie! looks very clear and to the point, but i dont see the added value, from what we did. which has been praised many times as good tone with honesty and humility

Will be traveling out of the country… sorry, I am being a bit useless on this one.
