The next plenary meeting will take place on Sunday 25 May. Given that there are a lot of topics that we need to conclude on to be able to conclude on the entire avant-projet phase, I am proposing to make a it a full day.

The agenda will be largely the same as the one we had foreseen for last Thursday.
May I please kindly insist to all the people who are preparing a proposal, 1) to make sure the proposal is talked through beforehand, i.e. that people have the time to read it, and to provide feedback (to be addressed) in advance, and 2) to ask someone to present your proposal if you can’t be there yourself.
Going into the different topics, here’s how I understand what is expected:
Geothermal heat pumps (@joannes): we need to know whether we will need to set apart 20 m² in the basement yes or no (this can be reversed with a “rectificatif” to the building permit, but always better to avoid it if we can). Some people would also like to know how much it would cost.
Based on the sparse feedback I got here and there, the proposal to invest 4000 euro into an additional study will most likely not get the group’s consent, so I would recommend finding a way forward without it.
Energy community (@alberto): as it was discussed at the Coordination Team meeting, a simple proposal to go for it, leave the details to a helping circle, and to take out the price of the solar panels.
Roof (@ChrisM): a short proposal with a budget breakdown
Plan for the basement (@els): ideally a sketch from the architects, alternatively an overview on how to distribute the private cellar space
Owners representative (@joannes): a short argumentation and a precise number to be included in the budget
May I please ask the people mentioned above to confirm whether they can deliver on this or not? If yes, then the request is to let us know by when you will be publishing your proposal for feedback. If not (which is fine of course), the request is to ping reef-coordination and reef-buildfin so that we can find someone to take over.
As for myself: I will be bringing a proposal on the maximum price and another one on the safety margin, and I am committing to publishing these proposals by Wednesday (Thursday at the latest).
Unfortunately it’s the same day as the 20km of Brussels which I am running together with some colleagues. I think it’s going to be too close to make it at 14.00.
After having spoken with two organisations that might play the role of Owner’s Representative in one or another way, I’m afraid I have to renege on my promise to have a complete proposal by Thursday, or even Sunday.
for one organisation, it’s not their core business (only non-residential renovations)
for another organisatioin, they can only assess whether it’s the kind of project they can do for the plenary of 5 June, after having reviewed our documentation (to be supplied)

Just a quick message to let you know that the agenda for tomorrow is ready. There are a couple of proposals that are listed for consent, so it would be great if you could find the time still to have a look at these.
As there are a couple of topics that dropped from the agenda, it should be possible to finish before lunch.
As for the logistics: for those who would like to stay for lunch, please bring a little something so that we can make it a potluck. For those who are new: the list with dietary requirements can be found in the members registry (link). In sum it comes down to two vegans, a bunch of vegetarians and two people who are gluten-free.
Also for those who are new: we like to start in time (10:30 sharp), so we usually try to arrive 10-15 minutes in advance to settle in. We also have a plenary meetings manual in the onboarding package that may be of use (link)
