Report from the Coordination Team to the plenary meeting of 25 May 2025

Hello @reeflings,

Here’s a short report from the Coordination Team. Not much has been going on, hence the long time it has taken to write a short report.

Here’s a couple of highlights that could be of interest:

  • Following a little glitch with a bill from Walk (paid too fast), we agreed to a process in which we will wait until the next meeting to approve any bill of more than 1000 euro, or else set up a formal digitial signature process before the bills are paid.

  • We asked the architects to have another look at our “simplified budget” file, and they flagged two little errors (VAT wrongly calculated). These have now been corrected.

  • The architects indicated that they envisage to file the building permit by the end of June. The biggest bottleneck is now the plan for the basement, which is a work-in-progress.

  • We discussed the issue of the safety margin with the architects and with Mark, which has inspired the current non-proposal that will be presented tomorrow. Notes from the meeting can be found in the Team Building folder (link) and the Team Coordination folder (link)

  • There will be another meeting with the technical experts on 27/05. If there are more questions on enery and heating, now would be the time to pass them on.

  • At our next meeting, this Monday, we have planned a short evaluation of the governance reform. We will brief back on this at the first possible occassion.

That’s what comes to mind. @reef-coordination please feel welcome to correct and complete!

Just noting that the evaluation of the governance reform is ultimately the responsibility of the entire group, not just the coordination team. Maybe we can submit a sort or report to the plenary?

Yes, the idea is indeed to report to the plenary, and then to do an evaluation with the entire group.
