One topic that will probaby be on the agenda of the plenary meeting on 25 August, is the review of the goverance reform (better late than never ).
I don’t want to pre-empt the conclusion of the rounds that we’ll have, and at the same time, based on the discussion in the Coordination Team and also my own experience, my feeling is that one of the major conclusions will be that the mothballing of the Coordination Group (i.e. a circle of some or all Team Coordinators) doesn’t quite work (for several reasons).
In case my feeling is right, I would like to speed things up, and already book a first meeting. Should it turn out that I am completely off, then we can still cancel this meeting.
My proposal is to hold the meeting on Monday 8 September from 19:00 until 21:00, which is the first possible date that I can find.
For this first meeting I would like to have all the teams around the table that are currently active, which I understand to be:
Coordination Team (Building & Finance)
Community:
Conflict management
Recruitment & Onboarding
Community Life
Support:
External Relations
Facilitation
IT (?)
Governance & Working Methods (?)
I would like to find a good balance between efficiency (not too many people in the round) and openness, so my proposal would be that each team sends one person (ideally the Coordinator, otherwise someone else), and that these are the people who will participate in the rounds. If there would be more people who would like to attend - say out of curiousity or because they would be interested in taking up a Coordinator role in the future? - I would propose to welcome these people as observers, with the possibility for them to jump in when they have a strong desire to bring in something. Feedback is welcome on whether this approach works for all.

No, that would make for too many people in the round. We are one team, and I’ll go as the Coordinator, but feel welcome to come along of course. I am also working on a new circle structure, which will hopefully make all this a bit less messy.
This is totally fine of course. Just know that this could be an excellent opportunity to learn more, and that you are very welcome to log in and then observe the meeting for as long (or short) as you want.
I used to coordinate Team IT, but the team does not really meet, nor is it particularly active beyond me doing a task here and there as the need arises. Our IT infra is mostly stable these days. So I would like to be excused from coordination meetings.
I wanted to use this meeting as a follow-up to my performance review, to start thinking about a frest start, governance reform etc.
For the moment I am not in a very good space unfortunately, and I’m also not ready with what I wanted to present. So given that there is no real urgency to organise this meeting, I wanted to propose to cancel this meeting. Can you give this post a if that works for you, or else come with a different proposal?

… let’s have another go at this, on Monday 29 September from 19:00 until 21:00. The purpose of the meeting would mostly be to talk about a possible governance reform and about taking a fresh start as I referred to in the follow-up to my performance review. In a next meeting, in function of how we decide to organise the group, we can then get into business and talk about what is going on in the different teams.

It seems like not everything is in place yet to organise this meeting, so I would prefer to call it off until a later date to be specified. Until then, given that we may need to revise the role description of Team Coordinators, may I please ask you to postpone your respective selection processes until we have organised this meeting?
