Dear @reeflings, I have looked up the statute of the ASBL (in this folder, you will need to request access from a Google account. I will propose a better system of archival for the ASBL that does not depend on Edgeryders’ Google Suite, but that will have to wait a few weeks). There are no particular formalities to be admitted as members, other than the payment of a fee. The fee was last fixed for 2020, to 100 EUR.
So, here is what I propose.
The new reeflings send me a message that says: "I request membership to The Reef ASBL. My data are NAME, SURNAME, DATE OF BIRTH, NUMERO DE REGISTRE NATIONAL. If you are not comfortable sharing these data on an open platform, use the Signal group.
I organize a (virtual, admitted by statute) assembly of the extant members: myself, @nadia and @matthias in representation of Edgeryders. The assembly welcomes new members, after which Nadia and Matt resign. All this goes in the minutes.
On the 8th of December, at our next meeting, we hold a second general assembly, with the new membership. Two agenda items:
My resignations as president. I propose @lee as the new president.
We charge the new president to open a bank account for the ASBL.
This, too, goes in the minutes. At this point, we have our own embryonic formalized governance structure. We still need to rewrite the ASBL’s statute, but we will do this as we finalize the Reef Blueprint 2.0.

Thanks everyone. I now have all data. This means that, on Tuesday, we will all be members of The Reef and can hold a valid general assembly. I need to add a third point to the agenda of the ASBL’s general assembly: now that we are more than three members, we need to elect a board of minimum three members. The president is of course one, and I can be another, but we need at least one more.Who wants to be on the board?
Not sure where to put this but I still don’t feel fully comfortable with the public record of our adresses and birthdays. It"s still personnal information that is available to passing EM… Can I ask @reef-asbl-board (+ @reef-recruitment ?) to reconsider this.
And/or it would be great if the info about dietary restrictions (+ pronouns and languages?) weren’t pulled with these data so that we don’t have to share it every time we want to make a potluck…
to get a clearer view on what you are not comfortable with:
you mind sharing addresses and birthdays
only those data or also other data?
you only mind sharing it with EM or also AM (or even FM)?
The solution you see /you would feel comfortable with is:
extracting dietary restrictions, pronouns and languages from that file so that- when we need to share this with EM/AM-, they don’t see the data your are not comfortable sharing?
for R&O maybe look into a way that the EM/AM don’t write their data '(adresses/birthdays) personally in the ‘registry of members’ file, where they would see these data of the FM, but that R&O somehow collects it and writes it in there?
Yes, just these data, and yes, personnally i would prefer AM didn’t have access to it either. FM of course ok.
I’m thinking actually the adress is still useful to share for events and things, and that in itself is not such a problem, but having birthdate as well starts to be quite a lot of info.
It feels to me that the “simplest” solution is to have a separate table for the official registry with this sensitive data. And the rest of the info is useful for everybody to know, so the original table minus birthdate can stay available as is.
move the ‘registry of members’ file to a location on NC that is not referenced to in the onboarding documents
replace it in the onboarding folder with a file where dietary restrictions, pronouns, languages and the addresses of those offering their place for PM meetings, can be found
have recruitment and onboarding or the buddies update the ‘registry of members’ file
the birthdays are added in the NC calendar by em/am themselves and for the current FM it was done by sb at some point. If you don’t feel comfortable having your birthday there, you (or anyone) is free to delete it there
If somebody would have concerns, or objections to it, let us know, otherwise we will proceed with this approach in the week of March 23rd.
