Streamlining signing the minutes of Coral Reef's GAs

I have a small problem. Coral Reef’s governance mandates one GA per quarter, and digital signatures for all minutes. Digital signing is time-consuming: people miss the emails, they don’t whitelist Signrequest, they need to be chased etc.

On top of that, most of us have several email addresses, some of which still work technically but are not checked. So, for the future, I would like to send minutes to the official list of email addresses, and only it.

So, can I ask you to take responsibility for maintaining it? This means:

  • during onboarding of full members, make sure that new members add to it email addresses that they check regularly.
  • maybe once a year ask everyone to review and confirm.

I am not totally convinced this falls within the domain of R&O, but we can take it up for now and see later if it needs to move.

I see we have a

  • registry of members (which before was in the Onboarding folder and was updated by the EM/AM, now it’s updated by R&O)
  • Asbl (full) members register.

Both contain emails and addresses. Would it be a problem to merge them into one file?

In my memory both used to be in one file, but I might be wrong. Without a link to the files though (I can only retrieve the asbl one) it’s hard to say. Can you please point me to the first file?
