With apologies for the delay, here’s a draft for a possible survey to be sent out to all people who attended a presentation in the last 12 months. Feel free to amend it as you see fit.
I kept it short and opted for open questions rather than multiple choice. My reasoning is that if we would create possible options about why people didn’t move on, we would unavoidably introduce a bias. I would much rather let them right a couple of sentences, and if need be use AI to do a text analysis.
@reef-recruitment, @els and @richard, we had a long chat about the recruitment crisis yesterday at the Full Members dinner.
One of the things that was mentioned is that we are working on getting the data, so that we won’t have to second-guess why people are joining. For me this has now really become urgent and important.
Would any of you have space to pick up the launch of this survey? It’s a job that can be split into several tasks if need be:
Encode it in Google Forms
Collect the email addresses
Send out the emails (per 50 max)
Small practical recommendation: to avoid sending the same email to one person 5 times, I would first put all the addresses in one file, then sort them alphabetically and remove the doubles.
If you don’t have space to take this on in the near future, can you please flag it, so that we can look for somebody else?

I guess the biggest part might be collecting the email addresses so would start on that, but it’s inclear to me where i can collect them from => who can i quickly chat/call to have a view on that ? You lee or sb else from team R&O?

associates not becoming full members and/or
exploring members not becoming associate members and/or
people coming to the presentation and not applying for exploring membership
(i don’t think we want to contact people saying they would come to a presentation and never showed up)
I wonder if we shouldn’t use this opportunity to ask one or two extra questions that might be helpful for team external . I proposed to try to get a better view on where flyers are picked up. Ok to include this? And any other questions maybe to ask that might help @reef-external ? (but don’t want to take too long for the google form to set up and send out).

The registration data for the presentations this year are on the Gmail drive. Most of them seem to indicate who attended, but if not, that can be extrapolated from the follow-up email sent the next day. @mieke will be clearer about all this…
Hello, on the registration form, I think it would also be worth asking people where they saw the leaflets or posters, to see if there is a pattern (more people coming from bio shops, for instance). Next to “flyers” I would put the option to write “where?”, if that’s possible.
I shared all the forms that pre-date The Reef’s Gmail account with The Reef’s Gmail account. I have the feeling that there is one from September 2024 that I can’t find, but there is not much I can do about that. Maybe @mieke can help with this?
I would ask everybody who registered for a presentation. You can see it from the way the survey is set-up: I would like to know from everyone why they didn’t make it to the next step. To me that includes people who registered for a presentation but didn’t show up. Maybe there is something interesting they can tell us about that.
The success of a survey depends on how easy (and short) it is. I would therefore move this question to the registration form for the presentations. It could for example be an extra open text question, if you found us through a flyer or a poster, where did you find it, if you found us on Facebook, where did we pop up etc. An extra reason to put it in the registration form and not in the survey is that people’s memory may still be fresh, while here we are targeting people who came to a presentation up to 12 months ago.
yes, my goal was to keep it short and easy. I saw it as an opportunity to collect maybe a lot of info right now instead of waiting to have the return of registration forms, but ok to leave it out.

how far do we want to go back in time? As far as possible? So far i have only the registration forms from 2025
i am not contacting the people of the presentation of 29/04 as they still have time to apply for exploring membership, nor current exploring or associate members
I see 1 registration of sb becoming exploring member of the presentation of 23/04 (i guess) : dominique. But for some reason i don’t find her back on the registration forms. The deadline to register for exploring membership for that group was 30/04, correct?

This question has been added to the current four registration forms (13/5, 18/5, 27/5 and 10/6)
Not sure where you’ve seen that. There are currently three EMs, two of which are on the current survey form (Joining The Reef - (2nd) survey April 2025):
Laurence attended the online presentation on 29 April, but wasn’t marked as yellow (attended) on the registration form (she is now)
Dominique came via Mieke and attended a couple of presentations a while ago
Emmanuel also attended a couple of presentations a while ago, and was on the waiting list for a 2-bedroom
