Team Recruitment & Onboarding: general communication 2024

Sorry if I’m intervening, I think I saw the date of DDL for associate members in the summer schedule only, on the 24th of August.

This is the deadline for the April group, which should be about right.

I’ve updated the main page of the ‘State of play’ doc, and I’ve added in the missing dates for the earlier Associate Members.

I’ve also updated the ‘Skills and experiences’ and the ‘Personal presentation fiches’ docs. Members who have left recently have been deleted, and all but one of the new Associate Members have filled them both in. There’s also an adorable presentation fiche for Perrine and Christian’s daughter Charlie :slight_smile: .

With regard to the ‘Personal presentation fiches’ doc, the pages for Joannes and Anne are still missing. I don’t know how to check back previous versions of the document, so if someone who knows how to do that could do it, and then copy and paste their fiches into the current doc, that would be great. Alternatively, we could just ask them to do it again, as hopefully they have saved a copy of what they wrote.

With regard to the next stage of the onboarding process, there are three things that need to be done:

1. Email to new Associate Members with the following info:

  • Welcome
  • 125 to be paid
  • Getting a new buddy soon
  • Some outstanding admin docs, and joining of Edgeryders and Signal
  • New admin (Members registry, Which teams to join doc, bios & photos)
  • Upcoming dates
  • Link to Onboarding Manual and checklist (after Lie has updated them)

2. Sort out new buddies for each household

3. Integrate new members into teams and tasks

I suggest we split the tasks in the following way:

1. Chris
2. Els
3. Lie

  • Do we know if every member got to see the confesseur ? As we realise that the ‘financial aspect’ is a big reason for stepping down? (or is that for team finance to take up/follow up?)
    And for some members who did see the confesseur and got a ‘b’, what is the deadline for a second visit ( and communicate that to them)
  • @Lee : did I get it right you already went to the history of the personnal fiche to try to retrieve the lost data of Joanned and Anne? ( If not I can give it a try…)

Do we need a chat ahead of the presentation on the 12th? I would think that we need to clarify the onboarding process for after this one, and perhaps set some dates.

I could spare an hour for an online meeting on Wednesday evening, and also meet up before the presentation itself…

Oki, so after checking with everybody on Signal it seems like 18:00 to 19:30 is the time that we could gather, with Chris needing to leave for a short while around 18:45.

For the agenda I propose we focus on what we propose to the people who will fill in the survey after the presentation on the 12th. If there is time we can also do a short evaluation of the onboarding system for the June group.

Any other topics that you would like to tackle this Wednesday?

My intuition is that we’ll need another meeting in October, once we have a bit more clarity on which units will still be available. Maybe this would be a good opportunity to make sure we have a lot of time for this meeting, and make space to discuss whatever it is that needs discussing?

An update on the last public presentation :

We only received three survey responses, which is a very small amount considering there were over 50 people at the presentation, and that they had all arrived via the cohousing organisations. My theory is that this is due to us saying that the next onboarding process wouldn’t get started until mid-November, and that people may reconnect then. I suggest that in mid-November, or whenever we are ready to start onboarding again, we send an email to everyone that was at the presentation with a new window to fill in the survey.

Regarding the three households that have filled in the survey, they have all been contacted, and they are aware that there will be events over the next couple of months that they can attend:

  • Site visits - one already offered and @ChrisM to offer another one, probably before or after a social event (Chris to inform)
  • Social events - Team @reef-communitylife met last night and have agreed to organise four social events in October and November (Chris to inform)
  • Online Q&A sessions - one to be offered in October by @ChrisM and one to be offered by @Lee in November, probably after a reminder email has been sent to all presentation attendees (Chris and Lie to inform re respective events)
  • NVC training - @Lee to provide an introduction course (Lie to inform)

We also received a double assignment at the plenary meeting, namely 1) to bring more clarity in how we are going to handle the full membership of the current Associate Members, and 2) to come up with a clear process for the next group of Exploring Members.

Personally I think we are going to feel more inspired after the first meeting with the architects, because it will give us more insight on where we stand. My proposal would therefore be to organise a meeting shortly after that. Works @reef-recruitment?

Hi team!

The time seems to be approaching where we have the info that we need to open up the onboarding process. Lie, I’m assuming that you’ve got a clear idea about order of events (because I’m not sure I do :-/ ). At some point I imagine that we will send an email to everyone from the last presentation, letting them know what’s available and giving them another chance to fill in the survey and become Exploring Members. At the same time, we will need to communicate with the people currently on the onboarding waiting list, who at this point all want 1-bedrooms or studios.

I guess the question is whether we think we’ll need another presentation any time soon. Because if we want to do one before Christmas, now would be the time to start thinking about booking rooms and getting the advertising machine rolling.

Perhaps I’m being an overanxious recruiter and onboarder, and there’s plenty of time to think about a potential presentation in January… :slight_smile:

I don’t think it’s a good idea to bring in people now or to organise a presentation. It’s soon the end of the year, which means that people are less available and activity goes down. On top of that there is also still some uncertainty around Oak Tree.

We are under some pressure to recruit the final members of the group, but it’s not really the time bomb kind of pressure. So my preference would be to see how things pan out in the next couple of weeks, and then to tentatively anticipate a presentation in the third week of January.

Let’s maybe try to schedule a Team R&O meeting after the plenary of the 8th of December?
