Online presentation

Hello @reef-recruitment,

If I am not mistaken, the plan was to also organise an online presentation …

I have given this some thought, and my thinking is that it’s probably better to do this before the presentation of 29/04. My reasoning is that this is probably going to take away some registrations from the in-person one, but then maybe the people that are enthusiastic at the online presentation would 1) tell their friends, which may lead to extra registrations for the in-person one, and maybe 2) they would want to meet us, and show up on 29/04 at 20:30 to see the maquette etc.

What do you think about this?

If we’d do that, the most convenient for me would be 23/04. For reasons of ease I would then give them the same deadlines as the group of 29/04, but up to you of course.

The way I would go about it, is to make the presentation a bit shorter, but maybe not much. I have done online presentations at work, and so far I have managed to keep people’s attention for a relatively long time. After that, depending on how many people are attending, we could maybe first do a Q&A in the main room, and then, for those who are still interested, move into break-out rooms so that the participants can meet another Reefling and also get more individual attention?

How does that sound?

Ideally we’d need to decide on this sooner rather than later, because ideally both go into one newsletter episode.

Practically, to move forward:

  • Can somebody please make a registration form?
  • @ugne, would it be possible to use a Zoom link of yours, of is that difficult?

I think it was just you and I that talked about this (after a suggestion by Maria), and the last thing you said was that you needed to check something with Alberto…

Can’t see anything wrong with your reasoning to do it on the 23rd, or giving them the same deadline as the presentation people from the 29th. It’ll be good for them to have a little extra time to meet us if their first contact is online…

Also sounding good to me

@ugne, if you’re also ok with all of this, I would say it’s a done deal…

@Lee, it’s not clear to me what you need from us with regard to this, other than the registration form and the Zoom link mentioned above. I guess as many of us as possible to be there on the evening and take a breakout room. And the usual tasks around getting the word out. Anything else?

hi @Lee , hi @ChrisM
Sorry, i see this only now, as was away for a weekend.
Yes, i can use my company’s zoom, can make you and Chris co-hosts so we can manage the breakout rooms. Let me know the time and will set it up. I guess for 2hours, to be on the safe side.
Just to be sure:

  • i need to create a new google form or (could be an idea), i adjust the existing 29 April form and indicate that this is for 23 April online presentation and 29 April onsite presentation, unless it will confuse people and we won’t manage to get the right contacts… if not, will create a new form, but then I need to understand how they will co-exist together. I guess saying 'if you are interested in an online presentation, for for this link and if you are interested on 29 April onsite presentation, go to this link", right?

Hey Ugne! I would ask Mieke about the registration form. I’m think she just creates duplicates with new titles and links for each presentation, but it’s definitely well out of my comfort zone. Once we have a reply from Spiegel, we will have three presentations approaching at the same time, so I’m pretty sure will need three separate registration forms…

Great! That’s indeed all I think is needed.

hi @ChrisM
Sure, no need to ask Mieke. Can do 3 forms
For online presentation on 23 April, when should we start, @Lee , 19:30 - 21:30?

Thanks for asking Ugne.

You’ll know better than me, but if we are targeting parents who have their hands full with children maybe it can be an option to only start at 20:00 or 20:30?

Thanks @ugne!
Would you be able to do the same things for this presentation that you did for the last one, that Mieke would normally do on the checklist (updating the webpage, etc.)?

@Maria, can you add this online event to Facebook and Instagram (unless Lee has already communicated with you about this)?

@Lee, is it the case that we want as many Reeflings involved on the night as possible, for the breakout rooms?

@Odile would you possibly be willing to create two events (23 and 29 April) in the Meetup group? I gave you admin rights. Feel free to say no or ask for help of course eh!

It will depend a bit on the number of registrations, but I think if we can be 3 or 4 it should be enough.

@manuelpueyo the newsletter is ready. Saved in the usual place: Login – Nextcloud

Can you please send it out?

@Lee - what do you think about recording this presentation, so it could be given to certain households that we want to fast track in the future?

I’m not against it, but also not enthusiastic.

The reason is that I tried to listen to the recording of Volta XL, and I lost patience after 5 minutes. I would worry that it’s not the same vibe when it’s recorded compared to when it’s live (also because this leaves the opportunity for break-out rooms).

Can it be an option to just schedule another one?

Changing topics: @MariaAM it seems like the registrations for the online one are going very well. I am not following what you are doing at all, but I figured this may be useful information, so that you can focus on it a bit more? (just a suggestion)

Sorry for replying to you so late Lee, it’s the exam time for my students. I saw that there is already something for the 29th April in the Meetup group. But nothing for the 23rd. Do you still want me to create an event for the 23rd?

If you can that would be wonderful. Otherwise don’t hesitate to ask Alberto. TIA!
