Team Building meetings 2025: debrief and preparing the next one

A thread to use to debrief from past meetings of TB in 2025, and start preparing for the next one.

I’ve added a table with all the future dates for the biweekly meetings with the architects in the file I use to prepare the biweekly meetings.

  • Goal is to give the architects an overview of these dates

  • I would like to use the table so we can add our presence/absence in it (no need to do it for the next 6 months, but maybe for the coming weeks at least). I think it’s better to avoid me going alone to these meetings (knowledge sharing,…) and so I think it could be handy for us to have a view in advance who can make it and who not… (to be found under the Stekke and Fraas folder/reunions)

I added one comment about a meeting on 10 Feb, which appears to be missing.

I also added the day of the week for each date and updated the ER calendar.

Met with @Lee yesterday and here is some feedback related to the TB meeting of 30/01

  • folder structure of the Stekke and Fraas folder => TB autonomy of to be discussed with other teams, coordination meeting?

=> TB autonomy

  • our coach mark

    • What has been agreed with Mark , our coach? => to be seen as a consultant to give us advice, provide us documents/templates used in other co housings

    • his rate is increased: 60 euro/hour (excl vat) and when communicating by mail: 15 euro/mail

    • Could he be our maitre d’oeuvrage délégué if the group would want that? Lee thinks not as he has a farm in Portugal , with goats. But can still be asked

    • Lee advices to have a clear agenda/clear questions as her experience is to deviate easily from topics (and charging for that)

  • topic ‘maitre d’ouvrage déléguée’: TB responsability?

    • Yes

    • She proposes not to tacke it now. The impact on the budget should be very limited, and better to wait till other reeflings join the coming months and might be taking up this task/part of this task. I agree with her.

  • I discussed with Lee about some extra tasks/topics i see for TB to take up the coming time, in order of priority. Can you assign yourself the tasks you can take up?:

    • Consent on the final version of the plans => goal to have this on the PM of 15/01 => i will take this one up

    • Location of the guest room (obelix or idefix). We need this answer at the latest by the time we meet the commune the next time or at the latest when we introduce our permit => Sarah proposed to take this one up.

    • Choice of the terrace each unit want (for those having the possibility to chose that freeling) => i guess by the time we meet the commune the next time (to be confirmed by the architects) or at the latest when we introduce our permit

    • Choice of the private cellar space. There are now 21 cellar spaces foreseen on the current plans. They indicated every unit needs a mandatory storage space (either in the cellar, or in your unit). This cellar space is limited. Now it’s 83 m2 in total, but might still change when we are having the discussions with the special techniques => i guess we need to have the answer on this by the time we meet with the commune the next time, or at the latest when we introduce the permit

    • Feedback from Mark is to define with the group on what things the reeflings don’t want an individual choice. The minimal is the casco, but maybe we can add some extra things to that (i’ll explain more about this in next TB meeting)

=> Lee said to start preparing the not so urgent once as well (if we have the time). We have lots of things to decide the coming months and maybe last minute it will be clear that there will be some time left for an extra topic, so good to have a reserve of ‘topics to discuss’

  • I shared a concern with Lee, something we have talked about a bit in TB: i am the most flexible one, time wise / to make myself free during the day. I think you (sophie, sarah, joannes) have maybe less of an availability during working hours. So i am afraid with the meetings with the special techniques that I will maybe the only one joining them, which is not good for the group, and which is not good for me.
    => Lee offered to help TB with that, just for the length of these discussions, thus joining me for those meetings.
    => Would like to have your opinion on that

=> we can discuss all of this in the TB of 10/01, that i would like to keep

What will the price of the terrasses go towards? Will it reduce the cost/m2 and if yes will it be substantial?
I’m wondering if it’s already a good info to have for the choice of appartment? But maybe that’s not a good idea in case people change their mind later?
(Side note: are the compulsory minimum terrace (10% of appartment size) already accounted for in the price calculation? Because that’s fixed and not optional anymore, and might reduce the overall price substantially?)

This will depend on the final choice of appartement, so we should probably wait until then…
And then will we wait for the whole group to be complete? It’s going to be a bit hard to tell people there’s no room anymore in the cave if it’s compulsory given the configuration of their apartment…
I guess one way around it is to look at the units left when we have them, and see whether they will definitely need space in the cave or can do without. Then we reserve these M2 and make our choices, and we see what is left.

And (for all these topics) I guess we don’t want to wait for the last minute so I guess some time in February for the first survey? When is the meeting with the commune foreseen?


An extra topic following the plenary is the guest room, I can also keep that.
It might require coordinating with the person taking up the caves, but we’ll see…

I think it’s not a problem that Lie joins, and maybe even needed as the coordinator? (no idea on that though)
But I really think we should be 2 of team building, otherwise the workload will end up on you because nobody else will know what you are talking about.
I think we should make some kind of doodle/table where we all put the time slots we can free ourselves up, and indicate if that’s for IRL meetings or only online.
And then offer slots where we can be any 2 as potential dates. And if it comes to that you go only with Lie, but I think that should be avoided.
If you guys agree, I can set that up as a word table (or somebody with an idea of a more appropriate tool can take it!).

Choice of terrace

Right now what is foreseen in the most recent calculation file:

  • 162 m2 of terraces (the terraces of min 10% fall under this categorie)

  • 135 m2 of terraces obligatoires.

In the simulation file , i came for these terraces of min 10%, to 78 m2
For the terraces obligatoires, i arrive at 138 m2

Choice of private cellar

no problem, should happen soon

I am quite sure we will need to pass this info for the permis and i am not sure we will be complete by then.

In the latest planning it is foreseen beginning of march

I would stick to 2, if it’s workable with 2 from TB, than i wouldn’t bother Lie, there will be enough work todo on other fronts

that would be great. But it’s still a bit too soon. The architects let us know today that the only final invoice we have is the one for the accoustics.
