To prepare for the governance meeting on Mon 2 Feb 19h, team External must get together to answer a few questions. Here’s a poll:

hi, during our weekly, Lucia and I discussed:

  • that the announcements for the 27 Jan presentation was done on all channels: 10 people already signed up
  • our need to prepare for the governance meeting (see above poll)

I am slowly emerging from darkness after a flu episode to let you know that we have two important pending tasks, and one new item:

  1. Budget: we need to upload the bills, as requested by this post. If you have made payments that should be reimbursed by the Reef, you should upload the bills on Free Agent. The one thing that comes to my mind is the expenses of printing new flyers (@Manuel), but there may be other things (and other people concerned). Also, in order to fill in the budget forecast for T.External, I think we should discuss what we intend to do in the first six months of 2026. From July to December 2025, we budgeted 517 EUR (for flyers, meetup subscription and other things). –> to be discussed on Monday
  2. I have uploaded this document that gathers info requested by T.Coordination. I think there is an important point about “feedback” to the team. I believe some Reeflings would like to better understand how and why we took some decisions such as changing the design of flyer or upgrade the newsletter subscription (which means spending money). I therefore find this point rather relevant in this exercise. –> to be briefly discussed on Monday, but you can add contributions directly to the document.
  3. The third item is that I would like to stop doing the social media of the Reef. It is a rather personal decision. Short story: I want to delete some social media apps from my phone. Other reasons: I’m a bit tired of it and I think maybe there are other people who would like to take on this task. AND I also think it would be good having different styles every now and then!

Hello Team,

In view of the kanban, the only pressing thing to do at the moment is to agree on a budget for Q1 and Q2 2026. Other items: recruiting a social media manager and info from Coordination team. Here my suggested actions for these items:

Budget

We need to close this task because we are already in February and we were supposed to deliver last month. I suggest to do a rollover of the budget, without any increase for the time being, based on four reasons: 1) uncertainty about upcoming expenses on other budget lines 2) not being a priority to change the Reef image because uncertainty around the needs 3) there will likely be a change of plans that will require a change of image, but we may be even able to work with a croquis drawn by the architects 4) the mailjet subscription will be included in the accounts of Team IT. Please :heart: this message if you agree, or explain your discrepancy if you don’t agree and we can maybe schedule another dedicated meeting (or 1-to1 chat) this week.

Social media manager

What does the job entail? posting on FB, IG and Linkeding about our project. It can be a reminder for presentations, general info about the benefits of cohousings, Reef values of diversity, inclusion, etc., I’ve tried to have a balanced mix of topics. I also use other topics as an “excuse” to include a reminder about a public presentation (something catchy first, the data I want to really communicate afterwards) NB I am not a professional of this, I am just using common sense.

Languages? try to diversify. If I really want to share content on FB groups, usually FR and NL needed. Otherwise, if only in EN, it won’t get approved. Also, only EN gives a feeling of not being in touch with the community we belong to.

Frequency? 1/2 per week if there are presentations to advertise (find a balance btw presence and not getting unfollows because of over publication -we are not selling shoes).

R&O asked us to update the website: remove the slide with the available units and change the date of moving in (I will put on social media end of 2028/ 2029). Also, I don’t know if you uploaded your pending bills to FreeAgent (please ignore this reminder if you did)

@joannes to take over the exchange of emails btw Chantal and the Christian Community on using the site as a parking spot.

Budget: I have also asked for consent to roll over the budget for Q1 and Q2 2026.

I believe there is nothing else in the immediate pipeline.

As for the meeting next Monday, as suggested last Monday, I propose to cancel it or convert it into a dedicated meeting to discuss “a new website”, an issue that is clearly important to some team members. I will not be there because I will be celebrating Carnival :slight_smile:

Also, I have seen that there is a strategy and governance meeting scheduled for Sunday 22, but I think we do not have a topic. Please, share any ideas for that topic (maybe the website?)

In case there are several topics, grateful if someone can create a poll to vote on them!
