I’ve finished editing the ‘Onboarding - membership manual’ : Login – Nextcloud
I’ve done it as far as the end of the AM stage, because I’m not clear on the process for becoming an FM these days. I imagine that someone from Team Finance will need to assist with that.
I’m not attached to the document, so feel free to edit and change things as you see fit.
@mieke - I thought of a couple of things with regard to the ‘Recruitment manual’:
- Keeping the overview document up to date
- Creating a thread
- Updating the Nextcloud and Excel calendars
Maybe you already thought of those things

I am considering to propose to turn the plenary of 25/06 into a Full Members only meeting.
If that would materialise, I figure it would be a great opportunity to discuss your upcoming proposal on the process for attributing the last remaining units.
Do you think you can manage to get to a proposal that you can post a couple of days ahead of the 25th, so that we can hopefully consent to it in one go?

Two little administrative issues:

May I suggest to include the file called “AM” in the “Onboarding state-of-play” file? My reasoning is that the membership process is a lot to take in, and so having all the information in one file makes it easier to get an overview.

I took the liberty of creating a new tab called “units” in the “Onboarding state-of-play” file. It is based on the “AM” file, but structured differently. The information that I dearly need is which unit is wanted by whom. This is why I made a list per unit, indicating between brackets the order of their choice.

You’re right about the need for information about the preferred units. Yesterday we discussed this as well within team R&O: we confirmed our data needs to be updated since it’s from survey responses. We’ll have the buddies check with people for current preferences.
I can’t seem to locate the tab you mention. It would be helpful to keep our current document structure, since team R&O uses this frequently and it works well for our team’s processes.
I am now on a break until the 14th but the team can follow up.
It didn’t sync, so I copy/pasted it again. Feel free to delete it or adjust it however you see fit. Would be great though to keep an overview on the units and the wishes in the same file.
I agree with Mieke, i would also prefer to let R&O make the changes. It sounds like a small thing to undo, but there are lots of small things to do in R&O and it’s adds to all the communication in R&O (which i find sometimes a bit hard, but it is, amongst other things, linked to the high number of presentations, high number of EM and AM)
for me this overview is not only consulted by R&O and the coordinator, but also by AM, EM, buddies. It makes a difference to give them a link to a file with one tab with the info that is relevant to them , than to share them a file with different tabs and having to find the one tab that is of interest to them. @Lee : can it be a solution that we provide a link from the state of play file to this seperate file, from the AM tab?
Linked to Miekes remark: @lee: do you have a need to track the preferred units of the EM in the overview? Most of them don’t apply for AM and this will need 'a lot of ’ updating from R&O. For EM i would keep it in the ‘exploring tab’, based on what they filled in the survey. When they don’t apply, we just delete the line with all of the info.

Here I’m afraid that we do need a view on Exploring Members’ wishes, because at some point we will need to put a stop to recruitment if there are too many candidates for the same unit. A simple tweak could be to only do this at the end of the EM stage, e.g. by adding a sentence in the checklist, saying “send an email to apply and indicate which unit(s) you are interested in”.
This links to a concern that I have about our buddying capacity. If we would see that an early Exploring Member is interested in units for which we have too many candidates, I would put their membership on hold and save everybody’s energy.
So yes, I do see a need for having a list of EM’s wishes. Does that make sense to you?
The question was more: do you want it in one overview.
We have a view on what the EM want in the ‘exploring members’ tab in the State of Play file. => I formatted this a bit differently now, so it’s clearer how many EM are on which unit.
The overview I need is in the file that is currently called “AM”. For the sake of clarity I have taken the liberty to rename the file into “unit preferences”.
When I update the checklist (in the next coming days) I will include a line somewhere to ask Associate Members to clearly indicate their preferences when they apply. I will also add a bit more documentation on financial self-assessment. Will let you know when it is done.
Changing the topic, I wanted to follow up on the Samenhuizen and Habitat & Participation summer programme. Audrey took a pack of flyers after the presentation, which made me think that we will now have a whole bunch of people who will be visiting cohousings and receiving our flyer. I think we should bank on this, and already announce the dates of the presentations in September.
I was thinking maybe an online presentation in the week of 25 August, and an in-presence one in the week of 15 September?
@reef-recruitment : can you also update the file ‘unit preferences’ when entering a new EM in the state-of-play file? (I’ve update the Onboarding and Offboarding manual.)
@Lee : can you also do the same update when they apply for FM? and if they are open for more than 1 unit, indicate the order of preference?
