I have two questions / requests related to scheduling:

Plenary meeting: without the weekend, we would probably have scheduled a full day plenary meeting on the Sunday. Expecting the need to check out around lunch, this seems complicated. Would you agree that it is probably best to just reschedule the plenary meeting, or do you have a different proposal?

Discussion about power and responsibility in a teal organisation: at the last plenary we agreed that the session that I prepared on power and responsibility would be rescheduled to the weekend. To me it is really important that we have this discussion, if possible as early as possible and with as many people as possible participating with full attention (so without 27 children running around). Can you please confirm that there will be a time slot at the weekend that meets these criteria? If not, I would like to schedule it at one of the next weekend plenaries, or at a full members dinner. Leaving it vague however is an option I prefer to avoid.

@Lee - we think it should be possible to have some meeting time of 2h or so, but the idea was to be able to enjoy time together in a non-work way, so a full day plenary seems a too much indeed…
We were thinking to try and do the power/responsibility talk on friday evening if we could, so as to keep as much of the days free, but it depends what time people would get in, and would mean people coming for the day would definetly not be there. If we keep this slot, would it be ok to have plenary items then, even if not everybody can make it as there can be proxies?
We then thought to have a couple of meeting time in the mornings, but on second thought, I’m thinking that it’s a bit much, and would suggest to have only one other session if we can do the friday evening - @reef-communitylife what do you think?

2 is better but if there are urgent topics to discuss, then I can live with 3… Even though I agree that the weekend should be more about connecting and socializing than meeting…
Personally I do not mind having meetings during the getaway weekend, but I would like to know a bit in advance what the planning would be. If we go to 2 or 3 meetings, I would prefer to not take our kids and leave them - if possible - with the grandparents.
So in the meanwhile Dave has posted his schedule (see (TEST MESSAGE) REEF WEEKEND: 14-16 February 2025), where I see an emotional check-in session on Friday evening, and then a plenary meeting on Saturday and Sunday morning.
For me personally, doing the session on power and responsibility on the Friday doesn’t work very well. I’d like as many people as possible to be present, and personally I also like my Friday evenings to be light and casual (but that’s just me). The solution for this would be to put it at the Full Members dinner on the 30th and/or to already cover some piece this Saturday when we will be talking about governance reform.
For the plenaries, as much as I would like to go without them, I worry that the avant-projet stage doesn’t allow for it, so I’d like to keep those if possible.
How does that sound?

Yes that works. And same as Mieke, I would prefer to go for 2 plenaries, and only add a 3rd session if we need (for instance we can see where we are at after the FM dinner).
I find it very sad though that we won’t be able to meet Hannah and Jeroen’s kids, I was looking forward to that… But again, I can live with it (especially as @Hannah you seem ok with that?), and hopefully there will be another occasion soon (maybe especially once you move back? And/or maybe we should also liaise and organise an event that works for you in priority?).

- @Dave_behave is onto food planning and will come up with a firm plan soon. I think drinks we will have to bring ourselves but I let him confirm that
- We would like to propose to have a secret Valentine! The concept: an appreciation card for your Valentine, the name of you will receive in a PM shortly
- We need to pay for sheets separately (10euros). Can you let us know below if you want it? Also there’s no soap
- Related question: as mentioned before, it wasn’t possible to find the absolutely perfect house, so we have 4 bedrooms with double beds, 1 room with a double bed and a single bed, and 1 room with 4 bunk beds. Can you let us know also what sleeping arrangements you can leave with? If it really doesn’t work we can then see about bringing air mattresses or something
- What time would you be able to leave Brussels on Friday afternoon/evening? For info, on Sunday we have the place until 8pm, so we can take our time…
- If you haven’t noticed yet, there is a sauna ! So gear up if you would like to enjoy it (or not if you decide you enjoy it best “en tenue d’Adam” - that is, in the nude)
- if you would like, think of games or other activities you can bring, and/or organize and let us know! We already have a game for big groups, and have been thinking about making crafts maybe (bring it on if you have material and are into it). Somebody also mentioned exciting easy impro exercices! We might be short of time for all of it actually, getting excited, sorry!

In the survey, once upon a time, I put myself down for one day only. That turns out to be Sunday: I plan to join on Saturday evening. @Dave_behave , can you advise on logistics? Do I need to rent a car, or can I use public transport/catch a ride with someone?
For the night I’ll be there, I can sleep pretty much anywhere.
There are no topics resulting from the meetings with the technical experts, so the only topic we have is the one on the guest room. Other than that, if that’s ok with the group, I would also like to bring the topic on power and responsibility.
If some people would be interested, I could also prepare an NVC practice session. This I would need to know in advance though, because the week is passing quickly.

For logistics, I think you’re the only one coming on Saturday.
So indeed renting a car or you can take a train down to Dinant, Rochefort or Beauraing.
On the way back there should be a spot in a car (@reef-communitylife check with me: 13 adults +1 child coming back to Brussels, number of seats : 7 + 5 + 4 = 16).

- Sarah, Chris, Manuel, Ada and I will leave at 14.30 with a rental car, so that we can set up the place and start making arragenements for diner.
