Team Recruitment & Onboarding: general communication 2025

That was also my feeling making it, but i just wanted to keep it for a discussion for our next R&O meeting, after that it can be deleted. Is that ok for you?

Hello @reef-recruitment,

Just a quick update to let you know that I have added a new column in the members registry, called “official first name”. This is because I use this file for official administration, and some of us have different official and calling name. I’m hoping that it’s clear, but feel free to let me know if people let you know it isn’t.

@reef-recruitment ,

As an actionpoint of yesterday’s meeting, i made a file with the precalculated prices of the left-over 2 and 3 bedrooms: Login – Nextcloud

  • I will recalculate everything again tomorrow, to be sure

  • if you have comments on the layout or on the number of data, let me know.

  • for now i put it in the ‘buddies file’, Onboarding/buddies.

@reef-recruitment : Good morning, the minutes from last meeting are available on Nextcloud.
Please review/change/update where needed. Feedback welcome as it allows me to learn how things are best done within the Reef

Thanks @LuciaM ! ,

Some feedback

  • i think - as Lee in her role as coordinator - (tries to) read the meeting reports of the different teams, it’s important to also include the key points (and starting with them): 1 or max 2 sentences per topic.

  • no problem if you want to add a more detailed version of the notes, as a second point.

  • (my opinion only maybe) i would also extract the action points in a separate section, to have them together, so next time we can quickly check if all of them have been done.

Hey @reef-recruitment !

At the last plenary, it came up that some people with a high workload were also buddying, which isn’t ideal. Now that the presentations are kicking in again, perhaps the three members of the coordination team could step out of the buddy pool for now, and people who are currently too busy (with the Reef or life) could indicate that. This would give a clearer indication regarding overall availability, in the optimistic scenario where we have a lot of people applying at the same time, and also ensure that certain people aren’t carrying too much of the responsibility…

Apologies if this is something you’ve already addressed within the team :green_heart:

@reef-recruitment :

  • I’ve updated the offboarding manual: delete the budget and price calculator file the AMs (EMs?) filled in

  • @lee, recruitment and onboarding. I would like to have your opinion about when new members need to fill in the budget and price calculator file and have it reviewed: I would say before seeing the confesseur. If you would agree, can you (lee) update the post about the confesseur process and/or checklist of things do to when joining The Reef? We will need to update the onboarding file.

Definitely before seeing the confesseur, though based on what we discussed elsewhere on the confusion created by advertising prices with and without VAT I’ll include something in the list hinting that they best do this ASAP. Works?

Hello @reef-recruitment,
I was looking through the data from this year’s presentations registrations/attendance to see whether there was any interesting trend that can inform our recruitment strategy going forward. I understand that there was already a “study” made in May already. So maybe this can help the exercise further. You can find the data here : Login – Nextcloud

312 households made the first step of registering for the presentation. About half of the households who registered (150 out of 312) actually showed up to a presentation. This is a decent rate, but it also means there’s a huge group of people who are interested but didn’t take that next step.

Don’t give up on the “no-shows”: I noticed that some people who registered for multiple presentations but didn’t attend eventually showed up to one. This tells me that even if they don’t make it to the first one, they’re still interested and we shouldn’t lose touch.

Effective channels: The most successful channels for attracting people who actually attend and then apply for membership are the ones used by people are actively looking for a cohousing project. This includes Google searches, specialized websites like Habitat Participation and Samenhuizen, and word-of-mouth. Flyers are also effective in converting interest in action.

Visibility vs. conversion: Social media is great for visibility and getting our name out there, but it’s not a strong driver for attendance, which translates into even fewer applications. .

Data shows that there is interest in the large apartments, it is a matter of our offer matching someone search (and budget).

As I was looking at the data, these were ideas that I came to me :

  • Would it be an option to reach out again to the people who registered, but who did not attend eventually (especially if they registered several times) ?
  • I understood some cohousing have waiting lists - could they advertise our units to the people on these lists ?
  • As we only have a few units left, we can expect we will have less and less applicants for each presentation. At some point, should we come up with a system where these presentations can also be delivered to individual households and not as a group ? Maybe convert the buddy-system in a “register for a chat with a reefling”-registration form ? The goal wouldn’t be to replace our presentations, but to offer an intermediate step and maximise our chances that the details of the project reach those 4 households that are looking for us, but, for various reasons, do not manage to get to the presentation.

But maybe you already discussed the following ideas, so sorry if it is not helpful.

Hi @reef-recruitment , since team External will do a lot of flyering in the coming weeks, we thought it might be good to already plan and announce new presentations. What do you think? :slight_smile:

I can get a newsletter ready to go by the end of the week :slight_smile:

@reef-external - No wrong answers to the following question: do you want to take over writing the newsletter? It’s Manuel who does the actual sending of it, and perhaps you want to include more of what you’re doing to reach out to people with regard to the content. Happy to keep doing it if that’s not the case…

hello @ChrisM , can you write the last one this week? and we will discuss internally this point in team external. to see how we see this newsletter from the editorial point of view. thank you for your help

@els, I had an action point with regard to the checklist and something about the confesseur. It fell of my list, and now I don’t remember exactly what I needed to do. Would you possibly remember?
